Automation for Accountants in Cambridgeshire
Practice-software gets you 80% there. We automate the remaining 20%.
Your practice-management software solves 80% of the workflow. The remaining 20% — the manual chasing, the spreadsheet bridges, the year-end scramble, the client-specific bespoke reports — is exactly where targeted Python automation pays for itself in weeks. Built for Cambridgeshire accounting practices specifically, by an engineer based in the region.
The pain we keep hearing
- Year-end chase eats January. Manually emailing 100+ clients for their records every January. Some return promptly, most don't. Partners spending hours nagging instead of doing the work.
- Bank-rec exceptions still need humans. Dext / Hubdoc handle the easy 95%. The remaining 5% — the awkward, the multi-line, the badly-photographed — still consume the most hours.
- Bespoke client reports are bespoke labour. Each client wants their own KPI dashboard. Each month someone exports data, builds the report, sends. Could be templated and automated.
- Lead pipeline lives in someone's head. New-client enquiries come via email, phone, referrals. No CRM. Nobody sees what's in the pipeline or who's following up.
What we typically build
Smart invoice ingest
OCR + LLM pipeline that handles emailed/scanned/portal-submitted invoices, posts to Xero/QuickBooks drafts, flags anomalies for bookkeeper review.
Bank-rec exception engine
Daily Python job processes the residual unmatched items — rule-matched first, LLM-classified next, human-review queue last. Cuts manual rec time materially.
Automated year-end chase
Client portals + scheduled email sequences + Slack alerts that keep the year-end pipeline moving without partner involvement. Polite, configurable, GDPR-compliant.
Client KPI dashboards (productised advisory)
Per-client live Metabase dashboards pulling from Xero/QB and external sources. Sells as a productised advisory service — recurring revenue your competitors aren't offering.

Frequently asked questions
Will this work with Xero / QuickBooks / Sage / FreeAgent / Iris?
All five supported. Xero and QuickBooks have the cleanest APIs; Sage and Iris are older but doable; FreeAgent is fine. We pick integration approach per software.
What about MTD compliance?
Built around UK MTD requirements — VAT submission flows, audit trail retention, digital links between data sources. Compliance-checked per project.
Is this cheaper than hiring another bookkeeper?
Typical client recovers 8–15 hours/week of bookkeeper time. At £25–£40/hr loaded cost that's £10k–£30k/year of capacity, for a £3k–£8k one-off build. Payback usually 3–6 months.
Can the partners trust the AI on financial data?
Multiple safety layers: schema-validated extraction, confidence routing (low-confidence items go to human queue), audit log, draft-not-final into Xero. Partners review and approve before anything posts. The system removes typing work, not judgement work.
How do we handle client data privacy?
UK/EU-region infrastructure, DPA with each client, zero-retention API modes, audit trail of every data access. Compliance is the floor, not the goal.
Do you only work with accountants?
No — but we know accounting workflows particularly well. See this page for that focus, and all 9 practice areas for the broader catalogue.
